ANNUAL ELECTION MEETING ON OCTOBER 26TH! DID YOU MAIL YOUR BALLOT YET?
The annual election meeting for owners to elect new board members for the two open board positions will be held on Saturday, Oct. 26th in the clubhouse. You should have all received your ballots by now and we know it was probably confusing with no names listed as nominees but fortunately we have had a couple of owners let us know since the ballots went out that they are willing to be nominated at the meeting!
Even though there were no nominees listed, it is imperative that you still mark the IRS Ruling section and then send in your ballot. We need to have a quorum of ballots returned (103) or the meeting cannot be held so please send in your ballots ASAP and don’t forget to SIGN the outside envelope or your vote won’t be counted.
The doors open at 12:30 PM for sign in and a light lunch; meeting starts promptly at 1 PM. There are several new homeowners at SS1 since last year’s meeting and we hope you will join the many other homeowners who attend these annual meetings. The owners are always eager to hear the “State of the Association” message from the board president, including updates on last year’s projects and those that are planned for 2020, along with the Treasurer’s report.
NEIGHBORHOOD WATCH MEETING ON TUESDAY, OCT. 1 2019 – 7 PM
The next NHW meeting is scheduled for next Tuesday, Oct. 1st at 7 PM in the clubhouse. Our beat officer, Senior Officer Jesus Chavez, will be at our meeting talking about what security issues might be going on at SS1 and our surrounding neighborhoods. There have been many concerns about the homeless encampment a little way down the beach from us so please come hear the latest on what the police have been doing to remove this encampment. Also come share your concerns about the vehicles speeding in front of the complex. This is your community and the PHPD does want to know about your concerns. Although the HOA does many things to try to keep security issues at a minimum, i.e., gated community, surveillance cameras, Archon Security doing random patrols every night, improved lighting, etc., it’s your responsibility to take care of your own safety and property so this is a great opportunity to learn the best way to do this. As was mentioned, we do have surveillance cameras in random areas around the property in the hopes of deterring criminal activity, but these cameras are located in areas to help protect HOA common area property. They do not cover all common areas so if your vehicle is broken into or is damaged or your bike is stolen, it doesn’t mean it will be captured on camera or that anyone would even know who it was that did break into it. That’s why it’s so important for you to protect your valuables by keeping them out of site and locking your vehicles so that the criminal doesn’t have an opportunity to steal from YOU. But if your vehicle is damaged or broken into, you will need to file a police report and the police will need to request a copy of the camera footage so that they can view it if it is in the view of the cameras. The HOA office staff will not review camera footage for any personal incidents.
ROOF REPLACEMENT PROJECT STARTS NEXT WEEK ON FINAL FOUR BUILDINGS
Half of the buildings had their roofs replaced last year and now the final four buildings are scheduled to start having the roofs redone sometime in the first week of October. The residents of those buildings that are affected will be notified ahead of time so that they can be prepared for the construction noise that will be going on during the day for the next few months. No units will need to be entered; all work will be done on the roofs only. This notice is for everyone so that you’ll know why you see so many large trucks and workers near the entrance gate. The workers may arrive between 7 and 7:30 but they know to not start actively working in the roofs prior to 8 am. If you have any questions after the notices go out for your building, please contact the office.
REMINDER TO CHECK UNITS WEEKLY FOR PLUMBING ISSUES OR LEAKS
The HOA staff checks building roofs, walkways, etc. on a regular basis to keep any damage from those areas to a minimum. As an owner or resident, it is your responsibility to check your condos, including closets, ceilings, hot water heater, underneath sinks, etc. for any leaks and report them immediately to the ABC-Builds hotline and/or the office if you find anything. Per the Rules and Regs, condos need to be checked at least every 7 days for plumbing leaks or the cost to repair any damage that happens may fall back on the owner. As a preventative measure, please make sure that your windows and doors are well caulked and that your balcony deck is in good repair. If you haven’t replaced your outdated aluminum sliders/windows, this is a very good time to get this done because many of those are deteriorating so they are leaking and/or having structural issues. Dianne has vendor references in the office or you can use any licensed and insured window/door company you wish. An Architectural Modification form is required to be completed and turned into the office for approval prior to an installation. Water damage caused to common areas or another condo due to your neglect may become your responsibility.
LOST AND FOUND ITEMS IN OFFICE – STILL MANY ITEMS HERE
This article was in a recent newsletter but only one or two people have come in to see if their items are here. There is still a set of keys with a mailbox key on it, a single house key on a key chain, several pairs of sunglasses, swim goggles, pool toys, etc. so if you are missing these items, please come to the office to claim them. And in the future if you think you’ve lost something on the property, please call or stop by the office to check. I’ve had sets of car keys dropped off that nobody ever came to claim so once it’s been at least a year, they get thrown out. Hopefully we can return more of these items to the rightful owner.
PACKAGES LEFT AT EMPTY UNITS??
If you notice packages sitting outside of a condo for more than 2-3 days, please notify the office in case it’s a package left at a wrong address. Fairly often we’ve had packages left in front of empty units that belonged to someone else at SS1 or sometimes even at a totally different address.
GAME NIGHT IN THE CLUBHOUSE?
Many of the residents who were involved with and/or attended the Community picnic this summer would like to continue having community events to keep that wonderful “community” feel going. It was recommended to have GAME NIGHT one weekend night a month and it can be whatever game(s) the group decides on at the time. If this is something you would be interested in, please [contact us], so [we] can make sure that there is enough interest to do this. Or if you have other suggestions for group events (large and small groups), please let her know that as well.
PLEASE UPDATE THE OFFICE WITH ANY NEW INFO
Please notify the office If you have a new email address, phone number, vehicle, mailing address, change the locks to your doors, etc. We always need a new key in the office if you change your locks. And if you are considering changing your locks, this is a great time to consider the “keyless entry” for your door so that you have a code to enter your condo rather than a key. This is a great option if you have a rental or vendors who go to your condo for repairs, house cleaning, etc. It’s much easier and less expensive to change the code rather than having to pay to have the locks changed.
