THANK YOU TO ALL WHO VOTED – WE REACHED OUR QUORUM – GREAT MEETING!
As usual, we had another very informative annual homeowners’ meeting although it was not as well attended as most years. We know that many of the usual attendees live in areas where the fires were burning and evacuations were in place so we understand why some of you couldn’t be there. We hope that you and your homes are okay as many of these fires are continuing! For those who attended, they heard the many updates from the board about what has transpired at Surfside I during the past year and what is planned for 2020. Board President Lynn Buck introduced the current board of directors and thanked them (Bob Bromber, Bill Fell and Donna Holbeck) for their dedication and involvement with the board in their “all volunteer” positions. Lynn also thanked Peter Nevin for running for the 2018 election and offering to become the Treasurer but due to a conflict of time with his own business, he had to resign after a few months. Lynn also introduced and thanked office staff member Dianne Ramirez and maintenance staff members Jesse Vaca, Tino Zavala and Luis Guerrero for all of their hard work and dedication to their duties. 2nd VP Bill Fell gave an excellent presentation of the past year’s accomplishments and some of the major upcoming projects for the next year, including the replacement of many walkway support beams, repairs or replacement of the wrought iron perimeter fencing and the much-needed replacement of the metal carports. 1st VP Bob Bromber talked about the “soon to be up and running” EV charging stations that will be a huge plus to the community and also let the owners know that the board is doing a lot of research on possibly replacing the carports with Solar Panel carports! This is a very exciting project that is still in its beginning stages of being researched but it would be another huge plus for the community, including saving everyone from having an electric bill and increasing condo values! Kathleen Gavin (former Treasurer of 6 years and Budget/Reserve study committee member for 7+ years) gave a great “on screen visual presentation” of the current finances of the HOA and what it will take to complete the necessary projects in 2020. The 2020 budget was approved so please watch for your annual budget package that will be emailed or mailed to you by the end of November. This will explain in detail the budget for next year and the need for an increase in the monthly assessment. The board of directors is going to hold an “Informational Meeting” (date TBD) for those of you who could not attend the annual meeting so you can hear the explanation about the need for the increase. Most of your questions should be answered once you read your budget package but if you still have questions, please attend this meeting. Please do not call the office with your questions; these questions need to be answered by the “Budget/Reserve Study” committee. The date will be announced as soon as it is set. If we do not have your email address yet, please make sure to send it to Dianne in the office so that you can receive the budget and other HOA documents by email instead of the costly USPS delivery. You will also be able to view these documents on the HOA website.
There were two positions open for the election but since no nomination forms were received prior to the deadline, there were no names on the ballot this year. Per election rules, the board was not allowed to take nominations from the floor at the annual meeting but fortunately two owners let us know that they were willing to be appointed at the October monthly meeting, so that is how we now have a full 5-member board for at least the next year! When board members are appointed, it is for a one-year term and then they can run for the open positions next year if they are willing to. We are all so thankful that former Treasurer Kathleen Gavin offered to step back into the Treasurer position for the next year! As stated earlier, she has been an amazing part of the Budget/Reserve study committee for many years and she has always done a great job of keeping the HOA on track with our budget. We also want to thank Phil Moreton for offering to be a new board member and he is now our new board Secretary. We know he will be a big asset to this already excellent board. Thank you to all 5 of you for the hard work you put into this “all volunteer” position.
We want to thank Donna Holbeck for her 3 years as board secretary and we thank you for all you did to be available whenever possible with your long hours at your job! Thanks again and we hope to continue to see you at the meetings as a homeowner. A very special thank you to the Inspector of Elections, Kathleen Gavin, who stepped up to the plate this year after our prior inspector, Tom King, “retired” last year after MANY years of taking on this very important job. Thank you also to 2nd VP Bill Fell for helping Kathleen count all of the ballots. As you know, there were no nominees to count but they still needed to verify that all ballots were official to count towards our quorum plus count the votes for the IRS ruling.
Another big shout out to Don and Lynn Buck for once again working many hours to set up and decorate the clubhouse for this very important annual event and spending extra time shopping for the food and drinks. And to Kathleen Gavin for many hours of preparing her financial presentation and setting up her slideshow to make this a great visual for the owners to see. We want to thank her along with the other Budget/Reserve Study committee members (Don and Lynn Buck, Bill Fell and Jesse Zapata) for their extreme amount of volunteer time they put in to making sure all HOA components were included in the Reserve Study so they could use this information to help with finalizing the Operations and Reserve study budgets that Kathleen was able to present.
The following are the results from the election:
IRS Ruling 70-604: Passed – 91- yes; 12 No; 3 didn’t vote
Total Ballots: 106
THANK YOU FOR YOUR COOPERATION DURING CURRENT PROJECTS!
We want to thank all of you for your cooperation and patience while the many important HOA projects are going on, which we know are really affecting parking. All of these projects are very important, including the structural welding of several stairwells, the final group of roofs being replaced prior to the rainy season coming (hoping it comes this year!), the ongoing replacement of walkway beams and last but not least, the EV charging stations being installed. It wasn’t planned for all of these projects to be completed at the same time but we have no control over the time frame of them being scheduled; it depends on the work schedule of each of the companies involved. Fortunately, most everything (other than the walkway beams) will be completed within the next 4-6 weeks and we’ll start to get back to normal. But just a reminder that if you cannot find open visitor parking during the evenings, you are allowed to park on Ventura Rd and Surfside Drive (the side nearest the buildings) from 5:30 PM – 7:30 AM. while the current projects are going on. Just be sure that your SS1 parking pass is visible or your vehicle will be towed. Please do not park in any area inside the complex that is NOT a parking space or your vehicle could be towed.
28-DAY NOTICE OF PROPOSED PARKING RULE:
Due to the fact that residents take it upon themselves to park in other resident’s reserved parking spaces without their permission, which causes inconvenience to the owner of that space and many complaints that come in to the office about it, the following rule and violation fine was proposed on 10-28-19:
An immediate $100 fine will be charged for parking in another resident’s reserved space without permission from the owner. Parking space owner can have vehicle towed at their discretion.
BULLETIN BOARD NOTICES – PLEASE CHECK WHEN YOU GET YOUR MAIL
Please check the bulletin board by the mailboxes for any new updates, meeting notices, rule changes, out of office notices, etc. Residents also give the office flyers to post when they have items to sell so be sure to check those out as well; some great used furniture “for sale” is posted there now. In the plastic bins next to the bulletin board, you will find current month newsletters, violation forms and maintenance request forms.
