Annual election “Zoom” meeting on October 26th! Did you mail your ballot yet?
As you know from last month’s newsletter, the annual election meeting for owners to elect new board members for the three open board positions will be held on Monday, Oct. 26th in a ZOOM meeting at 6 PM. We understand that this is a totally new format for all of us but the Board of Directors still plans to make this the same interesting and informative meeting as they have always held in the clubhouse in previous years. Even if you cannot connect by computer, you can call in by phone to listen to the meeting so that everyone has the opportunity to join in. Please watch for the ZOOM meeting information to be emailed/mailed to you soon. You should have all received your ballots by now and we need to have a quorum of ballots returned (103) prior to the meeting date of the 26th or the meeting cannot be held so please send in your ballots ASAP and don’t forget to SIGN the outside envelope or your vote won’t be counted. We have several new homeowners so we hope that you will be able to attend this meeting by computer or phone as it’s always very informative. The owners who attend each year are always eager to hear the “State of the Association” message from the Board President and other board members, including updates on last year’s projects and those that are planned for 2021 (including new carports with solar panels on them!), along with the Treasurer’s report about the budget and reserve study. If you did not receive your ballot or have lost it, please contact CPM at 805-987-8945 to have a new one sent to you. Once again, PLEASE COMPLETE THE BALLOT, SIGN THE OUTSIDE ENVELOPE AND PUT IT IN THE MAIL ASAP; we are eager to hold this very important meeting.
Surfside 1 HOA COVID-19 — Amenities still closed until further notice
Per prior newsletters, Dianne and the Board President Lynn, attend a weekly COVID-19 HOA online webinar to see where Ventura county and most other Southern California HOA’s are with opening HOA amenities. Nothing has changed with the requirements to be able to open the amenities so they will remain closed until further notice. If anything changes, you will be notified immediately so there is no reason to contact the office to check on this. We are all eager to see the pools, Jacuzzi’s, clubhouse and restrooms open again but the residents’ health and safety will always remain a priority.
Required Allguard termite inspections — Scheduling is in process
Since termite inspections and treatments are considered essential work due to needing to maintain the integrity of the buildings, the mandatory inspections have started again. We do not want to delay this very important annual inspection any longer so please watch your mail/email for the dates and times available for your condo to be inspected and then call Allguard to schedule your inspection. Their staff follows all required safety requirements when entering condos and appreciates if you will also follow safety procedures if you are home when they inspect your condo. Please email Dianne if you have any questions or concerns.
There is still limited guest parking — Options to be discussed at next meeting
Although the limited parking issues are getting better, it is still a problem on a regular basis so the board members are working on changes to the current parking policies, including the possible use of some of the EV parking spaces. In the meantime, please remember the current requirements of parking one of your vehicles in your reserved parking space whenever possible but it is required to be parked there overnight if you are at your condo. All vehicles owned by you and parked on the property are required to be registered in the office (and have current DMV tags!). The current vehicle registration limit is 4 vehicles for 3-bedroom units and 3 vehicles for 2-bedroom units. All guests visiting for 3 nights or longer are required to be registered by calling the office BEFORE they arrive. And we are still asking all part-time owners who do not use their reserved space full time to please consider loaning it to a nearby resident for the nights you are not parked on the property. Thank you again to all of you who have offered your spaces! New parking and/or vehicle limit rules/recommendations that come from the next meeting will be announced soon afterwards.
Reserved parking versus visitor parking — All look the same now!
As was announced in last month’s newsletter, for those of you whose carport was removed, IT MAY NOT BE REPLACED FOR UP TO ONE YEAR. We apologize for the inconvenience but it will be so worth it once the project is completed. In the meantime, we realize that now the reserved parking spaces and guest spaces look the same other than the parking curbs! In the past, most of us told our guests to park in any “uncovered space”, but that does not work any longer.
Please make sure that you let your guests know that they can ONLY park in a space where the parking curb has a “V##” on it or they might be towed. All residents’ reserved spaces should have a parking curb that is painted green and it says “RESERVED ##”, so please remind your guests to NOT park in those spaces.
All residents have the option to have vehicles towed that park in your space but during this “somewhat confusing time” for a while, please try to be understanding and start with a note on the windshield letting that person know it is a reserved space. We all need to be understanding during this time of waiting for the new carports to be built. And this goes for Archon Security as well; they might inadvertently put a “no reverse parking” notice on your vehicle if you are parked in your space because it looks like visitor parking spaces to them. Please just ignore it.
Please consider automatic payments for your monthly HOA assessment
As all owners know, All HOA assessment payments are due on the 1st of each month but are not considered late if they are received by the 15th of each month. Recently there seems to have been some issues with the mail so many of those who mailed their checks in what they felt was plenty of time, their payments arrived late and they were charged a late fee. We HIGHLY recommend that you sign up for auto deduction that is set up through CPM to be taken out of your account automatically on the day you choose between the 1st and 15th and then you never need to worry about your payment being late. And IF the assessment increases, Union Bank automatically changes your automatic deduction amount. You can also make your payment through Bill Pay at your own financial institution and you are in control of when to send the payment and make your own changes to the amount. Both of those options are the best because you always know your payment will be made on time and will not get lost in the mail. But if you still choose to not do one of those two options, please mail your check in plenty of time to arrive at Union Bank by the 15th of each month. As you know, the current amount is $573 and the address to mail it to is: Surfside Association, c/o Union Bank Remittance Processing, PO Box 15035, Vallejo, CA 94591-1935. Your account number is on your statement so please be sure to write that number on your check so that your payment is posted to the correct account.
All HOA rules are still in effect while office is closed
It has been reported that while the office has been closed, some residents may think that the rules are not still being enforced, i.e., registering a new vehicle, notifying office of guest’s vehicles parked for more than 3 nights, no back-in parking allowed in visitor parking, expired DMV tags not being updated, etc. Please know that although Dianne is mostly working from home, she still visits the office at least once per week and will be addressing these issues with each visit along with the violation reports she receives from Archon Security. There is also a “security committee” that walks the property regularly and reports any issues to Dianne. We are also getting “more than the usual” noise reports from other condos so please remember that quiet time is 10 pm – 7 am and that includes not doing laundry, vacuuming, etc. during those hours. All residents deserve peaceful enjoyment of their condo. As always, for the most part everyone is doing a great job of following the rules so this is just meant for those who might be new or may have forgotten.
