SURFSIDE 1 HOA AND COVID-19 MANDATES 

We know this is a very tough and scary time for everyone but we hope this finds you all well and getting used  to staying “safer at home”! And if you are one of the many essential workers, then hopefully you are able to  stay “safe at work and home” and thank you for all you do to continue to provide services to the rest of us! As  we are sure you know, the board of directors and our staff take this COVID-19 virus very seriously and we are  doing everything possible to help keep our residents and ourselves safe. It is everyone’s own personal  responsibility to take care of their own health and safety in an HOA and based on what the maintenance staff  is seeing, everyone seems to be doing a great job of keeping a safe distance from each other on the property,  even while at the mailboxes and we thank you for this! SS1 is complying with all State, County and City mandates and HOA legal guidelines for limiting the spread of the virus so that we can try to get through this  crazy time as safely as possible (and as you know, the mandates change almost daily!). Due to the mandates, we have closed the pool/Jacuzzi areas and the clubhouse bathrooms until the restrictions are lifted. Once  these areas are open again along with the office, the 2020 pool passes will continue to be issued and a new  requirement date for the pool passes will be set. The HOA office and maintenance staff are considered  “essential workers”, so fortunately Dianne is able to work from home and is continually checking email and  voicemails. Our maintenance staff, Tino and Luis, are working on-site full time while following all guidelines  of wearing gloves and face masks and keeping a safe distance from all residents. Jesse will not be working  until the mandates are lifted. Please help Tino and Luis with this by “keeping your distance” if you have any  reason to contact them on the property. They will not be entering ANY condos for maintenance unless it’s an  emergency; then they will use all safe practices to keep themselves and the residents safe. And per the latest  mandates, everyone should be wearing face masks when out in public and since many residents like to walk  on the property, it’s a good idea to wear one there. Although this is a very challenging time, we’ll get through  this and hopefully find a “new normal” soon. In the meantime, we hope you all stay safe!  

REMINDER TO OWNERS - PAPERLESS BILLING AS OF APRIL 1, 2020

After receiving calls and emails from owners the first week of April asking where their statement was, we realized that some of you may have missed last month’s email reminder and newsletter. Along with this being  the first month of no mailed statements plus everything else that is going on with the virus, the board took this into consideration and will waive late fees for the month of APRIL only for all owners who were current with their account up until 4/1/20. If you were already delinquent in your payments, there will no waiver  of the late charge. Per last month’s newsletter, many of you may remember that SS1 went totally “paperless”  for monthly statements and other HOA documents back in January 1, 2017 and we planned to continue  being paperless after our accounts moved to CPM but that wasn’t an option at the time. It is now an option so  SS1 is back to NO STATEMENTS BEING MAILED OUT UNLESS YOUR ACCOUNT IS DELINQUENT OR YOU  HAVE ADDITIONAL CHARGES ON YOUR ACCOUNT SUCH AS AN HOA GATE CARD OR KEY PURCHASE.

One change this time is that there will be no coupon books sent out so it will be your responsibility to  remember when to send your payment out. If you have signed up for E-statements, you will still receive  your statement and other HOA documents by email; no changes there. It’s only statements that are  sent in the mail that are affected. One other great way to receive your statements is by logging into your  individual account on the Surfside I website; www.surfside-association.com. You can find many documents  there including your statements, newsletters, board meeting agendas and minutes, HOA forms, etc. All HOA  assessment payments are due on the 1st of each month but are not considered late if they are received by the  15th of each month. There are 3 ways to make your payments; auto deduction that is set up through CPM to  be taken out of your account on the day you choose between the 1st and 15th and then you never need to  worry about your payment being late. And IF the assessment increases, Union Bank automatically changes  your automatic deduction amount. You can also make your payment through Bill Pay at your own financial  institution and you are in control of when to send the payment and make your own changes to the amount.  Both of those options are the best because you always know your payment will be made on time and will not  get lost in the mail. But if you choose to not do one of those two options, please mail your check in plenty of  time to arrive at Union Bank by the 15th of each month. As you know, the amount is $573 and the address to  mail it to is: Surfside Association, c/o Union Bank Remittance Processing, PO Box 15035,Vallejo, CA 94591- 1935. Your account number is on your current statement so please be sure to write that number on your  check so that your payment is posted to the correct account. Thank you for your understanding of the HOA  going back to this process and to those of you who have signed up for e-delivery of documents since the last  newsletter went out. We hope MANY more of you will also send in your completed e-statement form. Once you  sign up, all of the HOA documents will be delivered by email rather than “snail mail” but it’s your choice to do  what works best for you. There are still at least 15 owners that newsletters are being mailed out to each  month so if you have an email address in which they can be emailed to instead of mailing, please notify  Dianne so this list can be cut down if possible. 

ALLGUARD TERMITE AND PEST CONTROL INSPECTIONS ON HOLD 

As stated in previous newsletters, the HOA board approved a one-year contract with Allguard Pest Control to  inspect the interior of each condo for termites along with all exterior wood components of SS1. Due to the  current safety restrictions, this project has been put on hold until all restrictions have been lifted. Even  though it is considered an essential business, this is just one more way of the board choosing that it’s better  to wait to help keep our residents safe at this time.  

APPROVED EVC CHARGING STATION SPACE RULE 

Plug-in vehicle parking ONLY in EV spaces and vehicle must be plugged in while parked in EV spaces. All  non-plugin vehicles parked in EV spaces will receive immediate $124 fine and possible towing after 10 hours.  

APPROVED INCREASE IN VIOLATION FINES 

The following increase in fines was approved on 4/10/2020: First Violation Courtesy Letter  Second Offense $ 50.00 Third Offense $ 75.00  

Fourth Offense $100.00 All Subsequent Violations $100.00  

APPROVED ELECTION RULES 

The election rules were approved on 4/10/20 and will be sent by email or mail upon request. They were  previously sent out when they were proposed.  

ALL HOA RULES ARE STILL IN EFFECT WHILE OFFICE IS CLOSED 

It has been reported that while the office has been closed, some residents may think that the rules are not  still being enforced, i.e., registering a new vehicle, notifying office of guest’s vehicles parked for more than 3  nights, no back-in parking allowed in visitor parking, expired DMV tags not being updated, etc. Please know  that although Dianne is mostly working from home, she still visits the office at least once per week and will be  addressing these issues with each visit along with the violation reports she receives from Archon Security.  Please email the office if you have any questions or concerns. And now that many families are home full-time, the office is receiving more reports about “noisy neighbors”. We all understand that everyone gets restless  being home so much of the time but hopefully while being in the condo, you can keep the extra noise to a  minimum. Please remember that quiet time is 10 pm – 7 am and that includes not doing laundry, vacuuming,  etc. during those hours. And of course with the great weather we are starting to have, the boardwalk is a  perfect place to get out to walk to get exercise and fresh air rather than having to be inside the condo the  whole time; just hopefully you remember to wear your face mask to keep yourself and others safe. We value  our residents.
