Did you turn in your paperwork to Concord?

Less than half the community has submitted all the paperwork to our new financial management company. While information may have transferred from CPM, it is crucial we verify the information is accurate. For your convenience, I will included them with the newsletter. Setting up auto pay is great but we also need to verify the other information requested. Once the transfer is complete, we will be relying on the information on file with Concord to send newsletters, monthly statements, and more so please make sure you take a few moments to fill out the resident information form to provide emails as well as the electronic delivery of documents.

Election Results

We would like to thank Sharyn Field for volunteering to serve another three year term on the Board of Directors. As the only person to submit a Nomination Application, she was successfully elected by Acclamation on Monday evening!

Trespassing

When you see solicitors or people digging through the dumpsters for recycle items on property, please do not confront them. Instead, please call Port Hueneme Police non emergency line. Both are a source of revenue for the city so they will come and more importantly, we can get the message out they’re not welcome here.

Parking permits and pool passes

I still have over 100 homes that have not picked up the parking permits and pool passes. The office was open on a Saturday in January and February to accommodate those who are not able to come in during normal business hours. The response was dismal so please make arrangements to come in during normal business hours as soon as you can. Hang tag permits will be required on every car parked inside the community on April 1.

Balcony cleaning - please be considerate of neighbors below

While we appreciate that owners want to maintain their units, including their balconies, please be mindful of the neighbors below. Balconies that have a stucco or wood wall have a drain system underneath to divert the water away from personal spaces below. Balconies with open metal railings do not. If you have a balcony with a metal railing, rather than pouring a bucket of water on it to rinse/clean it, please sweep and mop instead. The last thing your neighbors want is dirty water from your balcony splashing in their bedroom window or on their patio furniture.

We need access

For emergency purposes, it’s crucial (and in the CCRs) that we have access to every unit door in the community. If you’ve changed a lock, please make sure you bring us a copy of the new key. Townhome units, if your front and top floor door keys don’t match, we need a key to the front door. If you've installed a smart lock on your door, it’s really easy to set up a code specifically for HOA use. Emergencies are the most inopportune time for us to find out the key we have doesn’t work.

Maintenance issues? Please call the office

Rather than stopping one of the team members while they’re on property or texting them about a maintenance concern, please call or email the office. This is the only way we can document and track things that need attention.

If the gate isn’t functioning, please use your cell phone to call the emergency line. Using the keypad creates a myriad of issues –the most crucial is there’s not enough time for us to answer the call AND it times out on other incoming calls.

Carports

We’ve had to go back to the drawing board as they say because the original design/plans came out almost three times the amount we budgeted. We’re hoping to have revised plans and proposals within the next week or two. Stay tuned!

Come on in! Say hi!

In case you’re not aware, the clubhouse doors remain closed even when I’m in the office. I post an “on property” or a clock sign on the door when I’m not in at lunch or running a work related errand. If you happen to come for a visit and see either of these two signs, please call the office and leave a message so I can let you know when I’m back in. I will be spending a bit more time on property now that weather is improving but would love to give you the attention you deserve!

Unwanted furniture

It may It may seem altruistic to place an unwanted items in the dumpster area thinking one of your neighbors may be able to upcycle it. However as the signs say on the container doors, it’s considered dumping and carries a hefty fine of $100. A better way is to post unwanted items in the Surfside 1 Port Hueneme Residents Facebook group.

Another option is to drop it off at any local donation location like Goodwill or Rescue Mission to name a few. Avoid fines by doing one of these two things instead of leaving in the container areas.

Community Living in a Snapshot

This is not an all inclusive list of the Rules and Regulations but it includes the most common issues management has to address.

For obvious safety reasons, the vehicular exit gate is to be used ONLY as an exit gate unless it’s been marked for entry/exit by the on site team. Please follow marked traffic patterns. Yellow arrows are painted on the roundabout parking for a reason. Please make sure you adhere to them even if it adds 3-5 seconds to your ability to park and/or leave. Because we take safety very seriously, all these WILL result in fines.

BEFORE you start any renovations in your unit, please contact the office for guidance on what requires approval.

Video doorbell products are quite popular. You can mount them on your screen or front door but they cannot be installed on the stucco.

If you live in a two bedroom unit, it may be a good idea to check the door on the top floor from time to time Make sure it’s clean and the hardware is functioning. During a recent walk through, some of the knobs and deadbolts appeared rusted shut. Because it’s a way for you to get out in the event of a fire, it’s important they work properly.

In most cases, it’s owner responsibility to complete minor plumbing repairs. If your shutoff under the fixture is not working properly and you need to shut off the main, it will affect your neighbors. Please make sure you notify everyone directly next to/above/below you at least 24 hours in advance for non-emergency repairs!

Flushable wipes are not flushable. If you use them, please do not flush them because even if they don’t clog your plumbing, it can and will cause and issue for your neighbors.

Pool and spa area

  1. Don’t eat food while IN the pool or spa

  2. Persons who wear diapers must wear swim diapers

  3. GLASS IS PROHIBITED IN THE ENTIRE AREA

  4. Tampering with safety equipment-emergency shut off for the spa, life rings or hooks-is also prohibited.

  5. If you bring “music” to the pool, remember you need personal listening devices.

  6. Only four guest per household is allowed.

Please don’t put the Board in the position that they are forced to revoke your privilege to use the pool/spa.

Patios and balconies

  1. Only furniture designed for outdoor use is permitted. Items such as coolers, folding “camping or beach style” chairs, tables designed for indoor use, etc. should be promptly moved inside when you’re no longer on your patio or balcony.

  2. Storage of any kind is not permitted—mops and/or brooms, bicycles, fishing poles, empty planters to name just a few.

  3. Pets cannot be left outside when you’re not home to monitor them and at NO TIME are pets allowed to use the patio area for their “restroom”.

  4. Smoking is NOT permitted on patios or balconies.

  5. Please do not hang anything over the patio or balcony railing to dry!

  6. If you have an umbrella on your patio, please remember to put it down or store it out of view when it’s not in use

  7. Mops and brooms should never be left on the patio or balcony.

Hose bibs in common area are not for use by residents. Most of the planters have been changed to a drip system which means less water waste because it’s being delivered directly to the plant. If the area around your home appears dry, please contact us so we can have the landscapers take a look at the irrigation.

Speaking of planters, please do not leave any personal items (potted plants, décor, hoses, etc.) in the planted areas outside your home. Planting or removing plants in common area is prohibited. If it needs attention, reach out to me.

Considering cleaning your balcony? Please sweep and mop the area rather than dumping buckets of water on it. The neighbors below you will certainly appreciate not having dirty water invade their patio or bedroom window.

One of the largest grassy areas the community has is along Ventura Road. While socializing of residents and their pets is certainly welcome, please be mindful of the residents who live in the building by doing your best to keep barking to a minimum.

If it’s been a while since you cleaned your dryer vent line, please consider doing so. This is one of the most common factors for fires.

Please be mindful when parking. If you pull in too close to a white line, it doesn’t allow enough space for your parking neighbor to get in or out of their vehicle without some serious effort to risk damaging both vehicles. Not to mention parking is at a premium and it could make a space unusable.

Trash should NEVER be left outside your front door as it attracts critters and pests to the buildings. When you’re ready to remove trash from your home, please take it to and place inside the appropriate receptacle.

A note from the Community Manager

March already?

While the rains were needed, it certainly kept the maintenance team busy this year. It’s been such a sight to look at the ocean and turn around to see snow capped mountains. Hopefully we’ve received enough to make a positive impact on the drought conditions.

As mentioned on the first page, it’s really important you complete and return the paperwork to Concord Consulting because I will be relying solely on the information you provided to Concord as of April 1.

Next week I will be in Anaheim attending the Southern California Law Seminar hosted by CACM-the organization one of my professional credentials is held through. I will have limited access to emails or phone messages while I’m attending classes but will return them as soon as I’m able.
