HOMEOWNER’S ANNUAL MEETING SCHEDULED FOR 10/06/18 - SEE YOU THERE!
It’s almost that time for our annual homeowner’s meeting/election again! It’s less than one week away and we are still short several ballots so if you have not yet sent your ballot in, please do so immediately. You can also turn it in on the day of the meeting between 10 am – 10:30 am at the clubhouse while the polls are open for last minute votes. If you mail it in, one of the items that gets missed the most is that one of the owners MUST sign the outside envelope before returning it or your vote is not counted so PLEASE remember to sign your envelope. And please plan to attend this very important meeting. Many important items will be presented at the meeting, including the projects that have been completed in the past year and the ones we will be working on for 2019. President Buck will give her “state of the community” address, Treasurer Gavin will go over the financials and present the budget for 2019 and 1st VP Bromber will present information he has gathered on the possibility of vehicle charging stations in our complex in the near future. Hope to see you there!
REMINDER OF THE NEW VEHICLE LIMIT RULE EFFECTIVE 11/1/18
No more than ONE vehicle per number of bedrooms plus ONE extra vehicle, i.e., 2-bedroom units can register and park no more than 3 vehicles inside of the complex and 3-bedroom units can register and park no more than 4 vehicles. One registered vehicle is required to use their reserved parking space for overnight parking. Does not apply to guest vehicles. Motorcycles are considered as one vehicle unless parked in same reserved space as another vehicle.
If you have more than the approved number of vehicles, be sure to notify the office as to which vehicle(s) you will be moving off of the property. Also keep this vehicle limit in mind if you are considering an additional vehicle purchase because if it puts you over the approved number of vehicles, you will need to move one or more off of the property. Thank you for your help with this new rule.
WELCOME TO THE GREAT FALL WEATHER AT THE BEACH!
TENANT REGISTRATION FEE EFFECTIVE 10/1/18
As stated in last month’s newsletter, A 75.00 fee must be paid for each new rental occupancy of the unit, effective October 1, 2018. This will automatically be billed to the owners monthly HOA assessment. It is the owner’s responsibility to register all new tenants with the office. If you have a property management company managing your rental, please let them know it is their responsibility to register the tenants with the office rather than sending the tenants in to register themselves. And please notify your management company of this new fee. Please remember that it is the owner or management company’s responsibility to show the tenants the location of their parking space, mailbox, the amenities, etc. The office staff will issue parking passes, current pool pass, gate cards, pedestrian gate keys and will enter their information into the entrance gate system. And a reminder that if the new tenants are NOT registered prior to moving in (or by the following week if they move in over a weekend), there is a $100 fine for not registering them. It is also required to notify the office right away when tenants move out.
ALL CONCERNS, COMPLAINTS & SUGGESTIONS NEED TO COME FROM THE OWNERS
We thoroughly appreciate and respect all residents whether they are an owner or tenant but per the CC&R’s, when it comes to HOA related issues, those items need to come from the owners. If you are a tenant and have a concern, complaint, suggestion, a violation to report, etc., please always filter those through your owner or property manager so that they can present it to the office. This includes anything verbal and/or written. And all items need to come IN WRITING directly through the office from the owners rather than communicating directly to the office staff or a board member. If it is urgent, you can call the office first but it must be followed up by a written request from you and your landlord.
EVERYONE DESERVES PEACEFUL ENJOYMENT OF THEIR CONDO
If you find that a neighbor is causing you to not have reasonable “peaceful enjoyment of your condo”, please try to work it out peacefully and tactfully with your neighbor before coming to the HOA with a complaint. Most neighbors are reasonable and do not realize until you tell them that they are walking too heavily with loud shoes on, that they are playing their music too loud, or that loudly grinding their coffee at 5 am is waking you up. Voices carry very loudly between condos as well, especially while sitting on the patios or balconies. Please try to handle your issues with your neighbor first but if that does not work or you aren’t comfortable with approaching your neighbor, you can notify the office IN WRITING so they can address it with your neighbor and/or you can fill out a violation complaint form and turn it into the office. And as stated in the previous article in this newsletter, please go through your landlord for these issues or at least copy them on your email as they need to be involved. We can then take the proper procedures to try to resolve the issue. If you are the person living upstairs, please do try to take shoes off when entering your condo if you don’t have soft soled shoes on. If you have a dog or child that runs back and forth on the floor or up and down the stairs, please know that the noise carries immensely to the lower units so they need to do their running outside. Or if you love freshly ground coffee in the very early morning, maybe grind it the night before. But as a lower floor resident, please remember that it’s normal to hear some noises from the condos above you – that’s just a part of being on the ground floor. This “peaceful enjoyment” also includes the parking lot so when entering and leaving the complex please turn down your car stereo to a decent level. We all live in very close quarters so please always try to be considerate of the people who live around you. Of course for extreme noise like late night partying, music, etc., please call Archon Security and they will arrive to ask the residents to be quiet.
NOISE LEVELS IN THE POOL AREAS
The office receives occasional complaints about the loud voices at the pools and Jacuzzi's in the evenings when residents are trying to enjoy relaxing or watching TV. As a courtesy to the residents who live around the pool areas, please remember that voices carry loudly from the pool areas so please try to keep your voices down while visiting in the jacuzzi’s in the evenings. We want everyone to enjoy our amenities but we also have to remember the rule of “peaceful enjoyment of your condo” and that applies to noise from the pool areas as well. Thank you for your help in this area.
DOGGY STATIONS, BAGS AND PICKING UP AFTER YOUR PETS
Thank you to all of you who pick up after your dogs and put the bags in the doggy station waste areas. For the most part, everyone is really good about doing this and everyone here appreciates it. But there are still those few who do not pick up after their dogs and this is not only an immediate $100 violation, but it’s very inconsiderate to those who go for walks on the property and end up stepping in the waste. Please be courteous and always pick up after your pets. Also, please do try to take your own bags with you when you walk your dogs but if you forget one, the doggy stations are definitely there for your use. But please just take what you need for your immediate use because those bags are quite expensive. If you have a cat who does not have a litter box, please check the grounds for cat “waste” that is being left in the mulch and sand areas. Many residents are complaining about having to pick up the cat droppings but this is the responsibility of the cat owners.
LOST AND FOUND ITEMS IN OFFICE
Occasionally personal items, keys, etc. are found on the property, including at the pool/Jacuzzi area, so once they are turned in they are kept in the office until someone hopefully stops by to claim them. At this time there is a mailbox key and a pair of sunglasses so if you are missing these items, please come to the office to claim them. And in the future if you think you’ve lost something on the property, please call or stop by the office to check. I’ve had sets of keys dropped off that nobody ever came to claim so once it’s been at least a year or two, they get thrown out. Hopefully we can return more of these items to the rightful owner.
